Automatic data extraction in detail

One of the key components of DirectOrderControl is automatic data analysis and information extraction with an intelligent software system. It extracts all relevant information from the customer orders right after scanning.

The special software is able to cope with a multitude of layouts as well as with hand writing. As every customer likes to order in a different way: Via paper letter, filled form, fax, e-mail or EDI. Customer orders in supported languages do not require special training. There are recognition rates between 70 and 90 percent of customer order header data right from the start.

The benefits of this automatic solution are obvious: Data entry starts right from receiving the order in the mail room. Information streams in bits and bytes are much faster than paper mails. At the same time typing errors are reduced and there is no precious specialists personnel involved.

The following document header data is extracted from the customer orders (and more, if required):
Customer number, order date, offer, offer date, net amount, tax key, gross sum and currency.

For each customer order item there are also the article number, article name, quantity, unit price and total price extracted.


Validation to check uncertain data

Validation is an intermediate step, which is only offered in cases in which the system could not ensure a correct assignment of identified data. It is an optical opposing of both digital image of the scanned customer order and the according extracted data to support easy correction. This task can be done without having specialist skills.

A comfortable viewer shows recognized, interpreted and assigned data. Just beside on the screen there is the digital image of the customer order, retrieved from the electronic archive.

A smart viewer technology links areas in the document with the according data fields for easy checks. Validation is not a must, but always an option.
